Audit-ready ESA receipts — formatted for ClassWallet, Odyssey, Student First & Step Up
Every iTeachWise payment generates an audit-ready PDF receipt your ESA program can accept without follow-up. Tagged with the ESA expense category, itemised, vendor-EIN ready, and embedded with an audit-trail QR code.
How it works
- Step 1: Sign up or log in — Create or log into your iTeachWise family account. No marketplace approval required.
- Step 2: Choose a plan — Pick the plan that fits your family. Pay with a card or your ESA-funded debit card. ESA Family plan is $499/year flat.
- Step 3: Download your receipt — Within minutes of payment, download an audit-ready PDF receipt from your account billing page — formatted for ClassWallet, Odyssey, Student First, and Step Up.
- Step 4: File for reimbursement — Upload the receipt to your ESA portal. Most programs reimburse within 7–14 days.
What's on the receipt
Audit-trail QR code
Each receipt embeds a QR code linking to a tamper-evident verifiable receipt URL on iteachwise.com — auditors can confirm authenticity in seconds.
ESA-category tagging
Every line item is tagged with the ESA expense category (Educational Technology, Online Curriculum, Instructional Materials, Special Education Support) so reviewers don't need to interpret the description.
Multi-child support
Receipts can be issued per child or rolled up by family, with the child's name, grade, and (if applicable) IEP-aligned use clearly indicated.
Vendor tax information included
Vendor name, EIN, and US business address are pre-filled — no need to chase a separate W-9 for your ESA file.
Available formats
PDF (primary), HTML email, and machine-readable JSON for programs that ingest receipts via API.
Bilingual on request
English and Spanish receipts available — useful for ESA programs serving large Spanish-speaking populations (e.g., Arizona, Florida, Texas).
Frequently asked questions
Which ESA marketplaces accept iTeachWise receipts?
iTeachWise's audit-ready receipts are formatted to satisfy the documentation requirements of ClassWallet (used by Arizona, Utah, West Virginia, Florida, and others), Odyssey (Arkansas, Iowa), Student First (Tennessee), and Step Up For Students (Florida FES). The receipt includes the ESA-eligible expense category, itemised line items, vendor tax ID, and audit-trail metadata.
Do I need to wait for marketplace approval to use iTeachWise?
No. iTeachWise is a teacher- and family-facing platform that operates outside the marketplace approval process. Pay directly with a card or your ESA-funded debit card, then download the audit-ready receipt to file with your ESA program for reimbursement. Marketplace direct-purchase integrations are being added state-by-state.
What information does the receipt contain?
Vendor name and address, vendor EIN, parent/guardian name, child's name and grade, plan name, ESA-eligible expense category, line-item breakdown, payment date, payment method (last 4 digits only), invoice number, and an audit-trail QR code linking back to a verifiable receipt URL.
How long are receipts retained?
Receipts are retained for the life of the account plus 7 years after closure to satisfy typical ESA program audit requirements. Parents can re-download any historical receipt at any time from their account.
What if my ESA program asks for additional documentation?
Email esa-support@iteachwise.com with the program name and the documentation requested. Common additional items (pacing schedule, learning outcome summary, hours-of-instruction log) can be auto-generated for any active iTeachWise account.
